Power BI Pro user trying to share with nonpro team members

Hi folks,

In dire need of some help here. I have created a Power BI Dashboard for my team that is revolved around capacity resource planning. My company has granted me a Power BI Pro license. I have tried to embed the report into our SharePoint site. When I go to the page, I can see, use, and interact with it just fine, but my manager is not able to view it. (Does not have a Pro license)

After realizing that my boss was not able to see the SharePoint embedded report, I moved on to going to the App.PowerBi.com to publish my report there from Power BI Desktop. I tried to share this report with my manager by allowing her access and giving her a email notification. AGAIN, no luck.

Does my team all need Power BI licenses to view and interact with the dashboard? I've worked so hard on this so I'm a bit frustrated here. Would appreciate anyone's guidance.

Hi, @Anonymous

Yes, they all need Pro licenses, unless the content is in a Premium capacity.

With sharing burtton, whether you share content inside or outside your organization, you need a Power BI Pro license. Your recipients also need Power BI Pro licenses, unless the content is in a Premium capacity. They must sign in to Power BI to see what you shared. If they don't have a Power BI Pro license, they can sign up for a license when they click the link.

For Embed in SharePoint Online reports to work, the following is required:

  • A Power BI Pro license or a Power BI Premium capacity (EM or P SKU) with a Power BI license.
  • The Power BI web part for SharePoint Online requires Modern Pages.
  • To consume an embedded report, users must sign in to Power BI service to activate their Power BI license.

Embedding a report in SharePoint Online doesn't automatically give users permission to view the report - you need to set view permissions in Power BI.
