Schedule Data Refresh

Hello there,

I have a trial power BI pro account and i have a refresh schedule.

I have shared my dashboard to myself and to another collegue.

I can see obviously my dashboard fine.

My other collegue has only the free power BI and can not see the dashboard because it has a scheduler.

My question is every user that i want to see my dashboard has to have a powerBI pro version if i am using a schedule refresh??

I hope you understood my question!!

Hi Constantinos,

What is the way that your colleague used to get the Dashboard, from the Mailed URL, or logged in his usual Power BI portal?

We tested to share a dashboard on a free Power BI account with schedule refresh configured on the related Dataset, and the free account is available to access that dashboard using the mailed URL, regardless of how frequent the refresh is configured. Check:

When you share with people outside your organization, they get an email with a link to the shared dashboard. They have to sign in to Power BI to see the dashboard. If they don't have a Power BI account, they can create one after clicking the link.

After they sign in, they see the shared dashboard in its own browser window without the left navigation pane, not in their usual Power BI portal. They have to bookmark the link to access this dashboard in the future.

They can't edit any content in this dashboard or report. They can interact with the charts in the report (cross-highlight) and change any filters/slicers available on the reports connected to the dashboard.

Source.

If the free user logged into its usual Power Bi portal, there won’t be this dashboard listed.

So the answer to your question should be no.

If any further questions, please feel free to post back.

Regards

Thank you Michael for the responce. I Have tried both from the Mail URL and power BI portal but is the same thing. My collegue can not see my dashboard.

I have a question to make you. When you try it yourself did you try it with the personal gateway or the data gateway because it is different?

Thank you in advance

Hi Constantinos,

Apologize for the late response.

I tested this using On-premises data gateway. What about your side, using personal gateway?

I will test once more regarding personal gateway, and will share the results once finished.

Provided you only refersh once per day, anyone should be able to view your dashboard (free or pro account) if you have given them access.

If you are scheduled to refresh more than once per day then your users will need a pro account to view the dashboard
