Easiest Way to Share Dashboard Internally (License Options)?

Hello,

I work for an agency where we have a team of 3 data analyst using Power BI and 12 producers that need to consume Power BI reports. We are fairly new to the Power BI world and have been enjoying creating reports. Our goal is to have the 3 data analyst create the reports, and share those reports with our producers so they may present them to clients. The way we want to do this would be to create a dashbaord in Power BI Desktop, and share the dashboard using a web hyperlink, where the producer can click on the link and the dashboard appear in the producers browser. Is this possible wihtout the producer creating a BI Service account? Can you share a BI report using a hyperlink? Or would we have to create a BI service accoutn for our agency?

My second question is around licensing. What is the best license to buy for our three data analyst to be able to share these reports internally with producers? If a producer wants to view a report wihtout installing Power BI Desktop, do they need a license?

Any input would be greatly appreciated!

Hi @psimp

(1)For the first question , you can share a BI report using a hyperlink .In Service , there are different ways to share report to producers . You mentioned a point , is it possible that producers can access the report without Service account . This requirement can be achieved through Publish to web in Sevice . When you click Publish to web , it will generate a link then you can share the link to anyone . They can open the link dirctly without any Service accounts . That means the report is public and not private .

I found an official document of this function for you, you can refer to this document .

https://docs.microsoft.com/en-us/power-bi/collaborate-share/service-publish-to-web

I also mentioned before that there are many ways of sharing on the Service. The following link explains other sharing methods, you can also take a look .

https://docs.microsoft.com/en-us/power-bi/collaborate-share/service-how-to-collaborate-distribute-da...

(2)For your second question , Pro license is suitable for data analyst . If data analyst want to create and share reports in Service , Pro or PPU license is required . You can purchase Microsoft 365 E5 to get Pro licenses or purchase Power BI Pro license directly in Microsoft 365 admin center . When the first time you create a Service accout and sign in , you can get a Pro license with a 60-day trial period . After the trial period, you need to formally purchase the Pro license .

For operations related to Pro license, please refer to the following links .

Please have a look here >>> Pricing & Product Comparison | Microsoft Power BI

1) Power BI Pro should work for you (small team)

2) Yes, your producer needs a Power BI Pro license to see what you post
