value entries vs invoices+credit memos

Hi all,

if you had a possibility to build a full sales reporting using Power BI and MSBC from scratch, what would you choose a a basis? Would it be a value entries table or invoices and credit memos?

What are the possible advantages of both options?

I think value entries will contain also internal moves of products which are not really sold to customers.

What is your opinion?

Choosing between a value entries table and invoices and credit memos as the basis for a full sales reporting system using Power BI and Microsoft Business Central (MSBC) depends on the specific needs of your business and the nature of the data you want to analyze. Both approaches have their advantages, and understanding these can help you make a more informed decision.

Value Entries Table

1. Comprehensive Data: Value entries typically provide a detailed record of all movements and adjustments in inventory, including production, consumption, transfers, and sales. This can offer a complete picture of the product lifecycle.

2. Internal Analysis: If your focus is on understanding internal processes, like inventory management, production efficiency, or internal consumption, value entries can be more useful.

3. Complex Analysis: Because value entries contain detailed transactional data, they allow for more complex analyses, like tracing product movements through different stages of production and sales.

4. Challenges: As you noted, value entries include internal movements of products not sold to customers, which can complicate sales analysis. It requires careful filtering and categorization to isolate actual sales data from internal transactions.

Invoices and Credit Memos

1. Focus on Sales: These documents are specifically related to sales transactions, making them more straightforward for sales reporting. They directly reflect revenue-generating activities.

2. Simplicity and Clarity: Using invoices and credit memos can provide a clearer and more concise view of sales performance without the need to filter out non-sales transactions.

3. Customer-Centric Analysis: This approach is better suited for analyzing customer behavior, sales trends, and revenue patterns since it directly ties to sales transactions with customers.

4. Limited Scope: This method might not provide insights into the broader context of inventory movements and internal processes.

Recommendation

- Business Focus: If your primary goal is to analyze sales performance, customer behavior, and revenue trends, focusing on invoices and credit memos would be more beneficial.
- Comprehensive Analysis: If you need a more holistic view that includes internal inventory movements and their impact on sales, then a value entries table would be more appropriate. However, you'll need to implement sophisticated filtering and categorization to separate sales-related transactions from internal movements.

In practice, many businesses benefit from integrating both types of data but keep them distinct for different types of analysis. Power BI's capabilities for handling complex data models and creating dynamic reports can enable you to design a system that leverages the strengths of both datasets.
