Disable Create Report from the existing APP

Hi all!

 

So I recently realized that App's users can actually see the tables used for the report. If user click on 3 dots on top of the app and select 'See related content'.

On the pop-up window if they select Create Report (highlighted in red screenshot below), they will see all the tables and the only way to avoid it is to hide the tables. However, hiding and unhiding the tables is not really an efficient way to prevent end users to see all the tables.

Is there any other way to restrict end users to be able to see the tables and columns after following the steps above?

Hi @OrM 

The app users are seeing the create Report icon because they have "build" permission, either through the App or on the underlying Datasets. To remove this, Update the App to remove the entry "Allow all users to connect to the app's underlying datasets using the Build permission." in Permissions. 

Note though that this setting will be overridden if any of the users have "Build" permission on the underlying Dataset. To check this look at the "Manage Permissions" entry on the Dataset in the App Workspace. If any of the users have "Build" permission there remove it.

Then without "Build" permissions they will not be able to create a new report based on the data, and hence won't be able to see the tables in the Dataset.

Regarding your description, let me add that you need to make sure that ‘Allow uses to buils content with the data associated with this report’ is not set.

Thank you for your reply. The "Allow all users to connect to the app's underlying datasets using the Build permission." is not ticked. But the users still can see the tables. 

 

I suppose it has something to do with the access I gave them. I gave Direct Access to the report. Can this affect the visibility of the tables?

Hi @OrM 

Yes, you have probably given "Build" rights to the users on the underlying Dataset in the App Workspace.

To check this look at the "Manage Permissions" entry on the Dataset in the App Workspace. If any of the users are "Members" or "Contributors" they need to be changed to "Viewers" and if any "Viewers" have "Build" permission there remove it.

Apparently, you are right. But the structure is a bit different. I was giving direct access

and seems like it grants build permission by default. While sharing the report with a link it can be avoided by basically unticking the Allow recepient to build report.
