Guest User Edit Ability

We are attempting to give an guest Azure Ad user edit access to one of our Workspaces (Embedded Capacity). The user can access the reports, save copies, make personal changes but cannot create new visuals or new reports. The user has a Pro license. We do this in a non Embedded capacity for the same user and everything works fine.

Hi @kevinengine ,

 

The user will need to have at least Contributor level access to the workspace for this to work.

 

In the report itself, you should also turn on the "Peronsalize Visuals" in the Report Settings section.

We've tried both contributor and member access to the workspace with no luck. The user can personalize visuals but we would like to give them full edit ability on the workspace. When they open a report the Edit button is not available to them.

Given that guest users have a Pro license and can access reports, but can't create new visuals or reports, this behavior meets the known limitations of guest users in embedded capacity. According to the documentation, guest users face certain limitations, including the inability to publish or update reports to the Power BI service directly from Power BI Desktop, which may affect their ability to view the Edit button or create new content in the workspace. Or you can try setting them up in the admin role in your workspace.

Unless I've misunderstood the link, the inability to edit is only from the Desktop and publishing to the service. These users cannot edit in the service. The sentence bolded below makes it appear that editing is available.

 

 

  • Some experiences aren't available to guest users even when they have higher-level permissions. To update or publish reports, guest users need to use the Power BI service, including Get Data, to upload Power BI Desktop files. The following experiences aren't supported:

    • Direct publishing from Power BI desktop to the Power BI service
    • Guest users can't use Power BI desktop to connect to service semantic models or dataflows in the Power BI service
    • Sending ad hoc invites isn't supported for workspace access lists
    • Guest users can't install a Power BI Gateway and connect it to your organization
    • Guest users can't install apps published to the entire organization
    • Guest users can't use Analyze in Excel
    • Guest users can't be @mentioned in commenting
    • Guest users who use this capability should have a work or school account
