Power BI Paginated Reports - Multiple views in Excel format (multiple tabs) for email distribution

Hi,

I need to send out via emails (daily) an Excel file with multipel tabs, including various views in those tabs (so not just one table, or drilling into view). It is all based on the same dataset.

I am trying to understand if a nice package can be built using Paginated Reports, or it is limited to a simple table view and nothing of more complex. Basically targeting something similar to a dashboard view with various tables, but to be distributed via email - and note that Excel format is mandatory...

Please advise as I started thinking it cannot be done via Paginated Reports ...

Thanks!

Hi, @elly2212

You can follow the steps below to manipulate your paged reports:
Open Power BI Report Builder and create a new paginated report. Add multiple data regions (e.g., tables, matrices, charts) to the report. Each data region can represent a different view of your dataset.
Use rectangles or other containers to group related data regions together. This will help in exporting each group as a separate Excel tab.
Insert Page Breaks: To ensure each section or view appears on a separate tab in the Excel export, you need to insert page breaks between sections. Right-click on the data region or container, go to the properties, and set the page break option.
Adjust Export Options: Ensure that the export settings are configured to support multiple tabs. This is typically handled automatically by the page breaks you set up. Publish the Report to Power BI Service. Schedule Email Distribution steps:
In the Power BI service, navigate to the paginated report and set up a subscription. You can configure it to send the report as an Excel file via email on a daily schedule. In the subscription settings, specify the recipients, email subject, and body. Ensure the export format is set to Excel.

Run a few test subscriptions to ensure that the Excel file is generated correctly with multiple tabs and the intended views.
Adjust as Needed: If necessary, adjust the report design or subscription settings to meet your requirements.
