Hi @Lahari123

Yes, Power BI Premium provides enhanced capabilities that can support distributing personalized reports or dashboards to a large number of users, such as 900 employees, with their specific data. This can be achieved through a combination of features like Paginated Reports, Dataflows, and the ability to set up automatic data refreshes and email subscriptions. Here’s how you can approach this scenario with Power BI Premium:

1. Use Paginated Reports for Personalized Data Delivery

Paginated Reports in Power BI are designed for scenarios exactly like this, where you might need to generate and distribute reports tailored to individual users or groups. These reports can be scheduled to run with specific parameters that filter the data for each recipient.

2. Row-Level Security (RLS)

Implement Row-Level Security (RLS) on your Power BI datasets. RLS allows you to control access to data in the dataset at the row level based on user roles or login credentials. You can define rules that dynamically filter data so that employees only see data relevant to them.

3. Automated Data Refreshes

Power BI Premium allows for more frequent data refreshes than the Pro version, ensuring that your data is up-to-date before being sent out. You can schedule these refreshes according to your data update frequency needs.

4. Email Subscriptions

Once you have your paginated reports set up with the appropriate RLS filters, you can use the subscription feature to email these reports to users. Power BI Premium enhances this feature by allowing:

  • More subscriptions per report.
  • Higher data capacity for email attachments (if you choose to attach the reports).
  • The ability to send emails to large distribution lists, assuming you have appropriate licensing and permissions set up.

5. Distribute to Large Numbers of Users

To distribute reports to 900 employees, ensure that:

  • Each employee has the necessary access rights to view the reports. For Power BI content, users typically need a Power BI license, but with Power BI Premium, your content can be viewed by anyone within your organization without requiring a per-user Power BI license, through the capacity-based licensing.
  • You configure subscriptions carefully to ensure each user receives the correct reports. This may involve setting up different subscriptions for different user groups or roles, each with its own set of filters and parameters.
