Unable to uncheck report access link for email subscribers under Subscription.

I'm trying to subscribe a user for a particular report in the following pane:

Subscription PaneSubscription Pane

I just want to share the screenshot and not the report access. Hence I unchecked the report access ("Also give access to this report") checkbox and then clicked on "Save and close". But the box still remains checked and the user gets the report access too. The rest of the changes at the subscriber pane gets saved except the report access sharing option. Any idea to overcome this issue?

Also, would I be able to subscribe to non-pro users if only screenshot is shared without the report access?

Hi @Anonymous ,

For your first question, creating a subscription can be done by:

Users with a Power BI Pro license

Users viewing content in a Premium workspace or app may also subscribe to content located there, even without a Power BI Pro license.

You don't need edit permissions to the content (dashboard or report) to create a subscription for yourself, but you must have edit permissions to create one for someone else.

What's more, the option "Also give access to this report" means the recipients have permission to the specific report page which you have set in Report Page box, instead of the whole report pages.

For your second question, it is not supported to implement in Power BI currently. You can post your new idea here https://ideas.powerbi.com/forums/265200-power-bi-ideas , to improve the Power BI.

It is a place for customers provide feedback about Microsoft Office products . What’s more, if a feedback is high voted there by other customers, it will be promising that Microsoft Product Team will take it into consideration when designing the next version in the future.

You can learn more:https://docs.microsoft.com/en-us/power-bi/service-report-subscribe.

Amy

Hi @v-xicai ,

I understand the details you've provided. But the issue I'm facing is that when I uncheck the "Also give access to this report" option, it does not get saved even when I click on "Save and Close".

Hi @Anonymous ,

Please check if you have a Power BI Pro license or the content is in Premium workspace or app, what's more, you must have edit permissions to create a subscription for someone else.

There are some limitations of subscription you need considerate, for more other limitations , you can refer to https://docs.microsoft.com/en-us/power-bi/service-report-subscribe#considerations-and-troubleshooting .

1.For report email subscriptions, if the dataset uses RLS, you can create a subscription for yourself. You can't subscribe others to a report with row-level security (RLS) applied.

2.Currently, email subscriptions for reports/dashboards using live connection datasets aren't supported when subscribing users other than yourself.

3.Email subscriptions don't support most custom visuals. The one exception is those custom visuals that have been certified.

4.Email subscriptions don't support R-powered custom visuals at this time.

5.Email subscriptions are sent with the report's default filter and slicer states. Any changes to the defaults that you make after subscribing don't show up in the email.

6.For dashboards subscriptions specifically, certain types of tiles aren't yet supported. These include: streaming tiles, video tiles, custom web content tiles.

7.If you share a dashboard with a colleague outside of your tenant, you can't also create a subscription for that colleague.

Best Regards,

Amy
