The best way to manage a single report with multiple, different datasets

In my application of Power BI, the case is as follows:

I have multiple customers with data in identical data models. They will all get a separate report to view their data in.

I would like to have a single report which I can use for development, and whenever there's a new version, update the reports for all these customers at the same time.

So there's a report ABC and customers 1, 2, 3. Customers 1, 2, 3 view report ABC with their own data.

Report ABC gets an update to report BCD, report ABC gets replaced by BCD and all customers can now see their data in report BCD, without the need for me to update report ABC for each customer separately.

I hope this makes sense, as English is not my mother language.

Thanks for the help!

Hi @vincentnoot ,

If your customers have independent data, and what they need is a report with the same structure and a consistent model, then my suggestion is that you can create a report template, and then combine the template and data to create a new report. This will save a lot of time.

If the data between customers is mixed, then I still recommend that you use RLS or OLS. You can define your own roles, or you can set the user's UPN, and filter the content of related reports based on the user name.

Hope that's what you were looking for.

Hi @vincentnoot ,

You can also try a new feature named OLS(Object Level Security).

You can not only hides tables and columns but also completely hide the model metadata, so your secured tables and columns are obscured in the field list when using reporting tools like Excel or Power BI. A user without permissions cannot access secured metadata objects via DAX or any other method. To viewers that don’t have the requisite permission, the secured tables or columns simply do not exist.

Please refer to the following blog which explains the relevant steps in detail.

Hope that's what you were looking for.

Yuna

Hi @vincentnoot

Have you tried to implement RLS( row leve security )?

Thanks for your reply.

If I'm not mistaken, RLS would require all data from all customers to be in the same query right? Because I believe this would make the size of the total way too large. So from a performance perspective, this seems impossible to me.

Or does RLS work in a different way that would still allow for good performance?
