Sharing w/ clients, and license type support

Hi all,

I'm new to PowerBI, and am having a hard time figuring out what license I should get to fit my needs:

  • I am creating and maintaining a series of reports for a client
  • The client has invited me to their Teams, and the goal is to share the link to the report on their Teams page, so they can see it from there. The report will be seen by 2-5 people at the start, but may eventually be consumed by a few dozen people.
  • The report is dynamic, and will be updated monthly
  • The report has sensitive data, so I cannot have a public link
  • I don't want the client to have to purchase/manage powerBI licenses.

Is there a licensing schema that would allow me to do this? I currently have a Pro license.

Thank you in advance,

Pedro

You'd need Premium capacity ($5.000 per month minimum!) for them to be able to access "freely."

If you're using PPU then it's by definition $20/month per user.

No, there hasn't been a way to privately/security share Power BI interactive reports without a paid license since mid 2017.

Would a Premium license help here? I don't mind paying for it. I just don't want my clients to also have to care about that

You said you wanted Power BI reports to be available in your client's Teams, which means the Power BI Pro or PPU licenses need to be provisioned in their Microsoft 365 tenant.

You can provision Power BI licenses for people in another tenant via AAD B2B but in that case you'd have to invite your clients in your Teams and tenant, and that would come with a host of limitations and headaches (and kind of defeats the purpose of Teams integration anyway).

Thank you for your replies!

Hmm I see the problem..

What if I just give them the link for the report? Would they be able to see them as free users if I have Premium? I believe so based on some other forums posts, but it's not clear if I would just need a Premium license myself (1 user), or if I would have to get more for my client

Thank you!

Very well,

So my options are:

  • Provide my client with licenses (and go through the headaches that come with it)
  • Publish publicly and risk data breach
  • Pay 5K month minimum for a capacity license

Microsoft is not making this easy for me.... Anyways, thank you so much for your support. I'll get in touch with my IT about the capacity licenses.

In case your clients already use Microsoft products such as Teams, it's not a very high hurdle to ask them to procure Power BI Pro or PPU licenses as needed.
