Sharing Reports within Organization to Non Pro Users

Hi All,

I am trying to share my report with users within my company. I have a Pro license and I have published the report to the server. When I try and share the report it says "Only users with Power BI Pro will have access to this report." How do I share this report, so they can interact and go through the pages, if they have a free license?

HI @alisonpappas ,

Maybe this is just semantics but to clarify this a bit - the download for Power BI to desktop is free.  If that is what you mean by "free" then the answer is no.  To view and interact with a shared report on the Service (or Report Server) they must have a PRO license (it can be the trial or assigned).

This document might help with the difference between the licensing options:

https://docs.microsoft.com/en-us/power-bi/admin/service-admin-licensing-organization

And this for Premium vs PRO:

I would appreciate Kudos if my response was helpful. I would also appreciate it if you would Mark this As a Solution if it solved the problem. Thanks!

Hi @alisonpappas ,

You have to have a PRO license to see the shared report in the service.  They can get a Trial PRO license (I think it is valid for 60 days?).  You stated "server" but I am assuming that you are using the service.  If you actually have Report Server then you will have to have a license assigned to the user from your Power BI Premium account.

Hi @collinq ,

I have a PRO license. I am on the service/server i with a Power BI Premium content workspace. I now wantto share this workspace with my coworkers and allow them to see the report and filter it how they want. When I try and share the report it says they also need a pro license. How do they see this report and filter it without a PRO license?

Hi @alisonpappas ,

They can NOT interact with the report without a license.  Since you are on Premium have your administrator assign them a license (which you should have available since your on Premium).

if they recieve a free license (which they do) and i share, even though it says they need a PRO (below) they will be able to see it and interact? or do i have to share this another way?
