Sharing Power BI Report to external users

Hello Everyone,

I have created a App for Industry Data and we used to share the raw data via excel to external users. However our management wants to know can we share the power bi to external users without taking the pro license or premium?

2nd thing can we create a trail version based on their company ids which will last till the trial period ends?

This data is very critical and i cant use publish to web. Is there any workaround to share my power bi report?

Hi @nagaraj007

1. You need to add the free users to workspaces that are in premium/dedicated capacity. Please refer to https://docs.microsoft.com/en-us/power-bi/service-premium-what-is#dedicated-capacities

2. You can add the external user as a guest in Azure Portal. refer to: https://docs.microsoft.com/en-us/power-bi/service-admin-azure-ad-b2b

(If you use LiveConnection to get data from SSAS, you need to map user. Here is the document about map user: https://docs.microsoft.com/en-us/power-bi/service-gateway-enterprise-manage-ssas#map-user-names-for-...

@nagaraj007 You only have one option left in terms of licensing and that would be the embedded sku. The "A" sku comes in multiple levels and requires that you embed your report in application, so there would be some additional work to plug that into a web app.

Hi,

Can i ask the external users to create a power bi trial version and then give the access to the APP so that they would get the access till the trial period ends? So that the data is secure. Will this solve my problem atleast till the trail period ends?

@nagaraj007 Yeah, the other option is that they have their own Pro license. And they could use the trial period provided they haven't used it before. This also assumes they have O365 on some level I believe.
