Sharing Filtered Reports in PBI Service

Hi All

 

From the link below, I understand you can set a filter in the report then share the report (with the filters) to other users.

We currently distribute our PBI through the App function, therefore the above will not be possible? Is there an alternative method I can distribute pre-filtered reports?

hi @swwong1 - Can you please share the exact requirement for sharing pre filtered reports - but here are the options you should consider

 

As mentioned by @darentengmfs - if it for security reason so certain users can only see certain data then you should explore the option of RLS as per the Microsft documentation

If you require to show particular snapshots to users then you can explore the option of bookmarks - Power BI service generated unique URLs for each bookmark view. Below is the Microsoft documentation for creating bookmarks

Let me have a look at creating bookmarks - I already do this personally but haven't shared my bookmarks to other users

 

As an example, I want to send the performance of project A and B to a sales manager (the RLS is already configured). Instead of them going into the PBI App and select the two filters, I will send them the link where the report is already pre-filtered to project A and B.

 

Based on the above, it seems like the bookmarks function work- let me have a read on this

I have read through the guide but it doesn't seem to mention I can share my bookmarks as a link to other users? Unless I am reading it wrong.

 

It just says I can create bookmarks at a report level and users can access these bookmarks if I am using pro version?

hi @swwong1 - Once your reports are published to the service you can share the URL for specfic bookmarks of your reports with Users as required - see below screenshots for reference. 

Snapshot #1 is the default URL of the published report

Forgot to mention, I am accessing the data through the app function so I cant access the report(s) at a report level.

If the users in your App should only view certain data, you should try Row Level Security. Take a look at the article.
