Share report across the organisation without the use of Pro License

Hi,

I own a dashboard that is getting used by rougly 200 users in my organisation who all had to request a PowerBI Pro license in order to be able to access the report. There has to be a more cost effective way of doing this.

What is/are the easiest / quickest solutions to make your report accessible to all users in the organisation without having to pay for a Pro license?

Best regards

Bas

@Anonymous,

As I mentioned, not Pro, but Power BI Premium would be the best solution then: https://powerbi.microsoft.com/en-us/pricing/.

You only need additional Pro licenses for people building reports, so you'll have to take that into account.

Have a look at the Premium calculator to see what the approximate costs will be.

Or if you only want it for these users and are looking to embed the reports into a website/application you could use Power BI Embedded: https://azure.microsoft.com/en-us/services/power-bi-embedded/.

@nickyvv

Thanks for the reply. The 200 users are just for this dashboard. Userbase is growing each month and is expected to reach 500 users in a year time.

Indeed just giving all users a Pro license is quickest, but I'm running into the situation now that our customer service desk has run out of available licenses.

Publish to web is not an option as the data cannot be made publicly available. Is there perhaps an option to host the report somewhere so that users only require a free license to access it?

Best regards

Bas

@nickyvv Thank you, very clear! Given the pricing on that looks like it's best to wait until we're more close to the 500 user threshold then. But I'll have a chat with finance to see what's possible.

Thanks!

Hi @Anonymous,

not sure what you mean with easiest/quickest solution, or do you need the most cost effective solution?

Buying Premium will certainly be the quickest, then you can go with free licenses for everyone just viewing your content. But for 200 users it will not be cost effective (yet). Is 200 the total pro licenses? Or just for your dashboard?
