Setting up subscriptions for other users

How can I allow users to set up subscriptions for other users with out giving the first person owernship rights?

When one of my managers trys to set up a subscription for a worker, they are getting "you are not the ower" messages. (I am the owner)

Thanks

Hi @amtrakrob ,

To be able to use email subscriptions in Power BI, you need to take into account:

  • The person creating the subscription needs to have edit permissions to the report/dashboard, that is, having the Contributor, Member, or Admin role for the workspace and also requiring a Pro license.
  • Users receiving the email must also have a Pro license, or the workspace must be in Premium capacity.
  • There is a tenant setting in the Power BI Admin Portal called Email Subscriptions which has to be enabled.
  • If there are external users in that distribution list, there is an additional setting in the Admin Portal called Invite external users to your organization, which also has to be enabled.

Also be aware there are several considerations/limitations:

  • Currently, email subscriptions for reports and dashboards using live connection datasets aren't supported when subscribing users other than yourself.
  • For Power BI apps you've installed, you can only create subscriptions for others if you're the owner of the app.

@v-tangjie-msft ,

Should a Pro user be able to subcribe another Pro user to an App?  The entire organization is setup with connection to underlying dataset.  Our team members are getting the same "You can't subscribe others because you're not the report owner." error.

Thank you,

Matt

Hi  @v-tangjie-msft , thanks for the answer.  Just for understanding: Why it is necessary that the user who creates subscriptions has edit rights for the report? For my optinion als Role "subscription Manager" would be great. in the old world "SSRS" I could create a custom role that could create subscriptions but not change the report

Best Regards,

Benedikt
