Premium Subscription - End Users Prompted for Free Trail

We have a premium subscription and when sharing reports to internal users that do not have a Pro License they recieve a prompt to establish a free trial.  I was under the impression that a report within a premium workspace should be able to to be shared out to end users despite having a Pro License and not be required to signup for a free trial.

It is how the security and permission management works. Power BI needs to authenticate the viewer to check if the viewer actually have permission, and that requires the viewer to have an account with Power BI via having a license.

If reports are in Premium workspace > report viewer can create an account with Power BI Free license

If not in Premium > report viewers need a pro account


"Free Trial" could be referring for Pro and PPU license. But having Power BI Free license doesnt cost anything.

Not adding report viewers to Workspace is a good practise, allow you to separate the developers and the viewer environments.

Do you have a premium capacity or are you using a Premium Per User (PPU) license?

We have a premium (P1) capacity and subsciption. The reports we're sharing reside within a premium workspace within the capacity. Thanks

OK, then your impression is correct. The end-users don't need a per-user license.

 

However, as mentioned here, make sure you're sharing via an App, not a Workspace.

Thanks but we're publishing a report to a capacity workspace and then granting users Read acces to the report via the reports Direct Access feature. The end user then uses the embedded link contained within the auto genarated email notification to access the report. However, they receive the free trial prompt when attempting to do so. It doesn't seem like that should be happening.

Which role do they have in the workspace? Viewer role will work, but if they are assigned Member, then there will be a prompt. Is this the case?

And of course they need at least a Power BI Free license to view any report.

Hi, We typically don't grant end users access to a workspace as our workspaces contain multiple reports. Instead, we grant end users access to individual reports. We have a Premium subscription and premium wrokspaces within a capacity so why would an end user need a Power BI Free license?

Hmm. You still might need to share via an app link instead of a workspace link? I can't find any details beyond what @lbendlin mentioned.

Thanks. Yeah, I'm not sure what's going on. We typically don't share via Links and instead assign end users via Direct Access. Once we assign a user via Direct Access to the report, we opt for an automated email notification to be sent out to that user which contains a link to the report.
