Powerbi Licensing and Sharing Content

Hello,

 

Could someone pls suggest me the Licensing model and the best way for sharing the Reports/Dashboards for the below requirement.

 

We have 100s of clients for whom we need to provide a set of standard and customized reports. We have a variety of data sources like databases, API sources, files, XML etc. We should be able to update the report content and upon publishing the same should reflect across all the clients. The clients would all be part of different organizations and may/may not have PowerBI Pro licenses.

 

1. Can App workspace suffice my requirements ? Or should I go for PowerBI Premium or a combination of these licenses. We have a team of 4-6 Report developers who should all have Edit access.

2. How do I control Security/Authorization for reports?

3. Can I use PowerBI solution templates if I use App workspaces ?

4. Do I need any specific PowerBI licenses to connect to data sources with Live connection ?

5. Through PowerBI App workspace, can I share reports to clients on different Tenant/Domain ?

Please be aware of below things:

  • No matter which way you choose to share a dashboard or report, you need a Power BI Pro license, or the content needs to be in a Premium capacity.
  • Any user needs a Power BI Pro license to be an admin or member of an app workspace. Your app users need a Power BI Pro license, too, unless your app workspace is in a Power BI Premium capacity.
  • End viewers that are outside your organization are limited to consumption of content only. They can't access App Workspace.

 

For your second question, you could apply RLS in reports. But if you publish your Power BI Desktop report to an app workspace within the Power BI service, the roles will be applied to read-only members.

 

For your forth question, you don't need any specific PowerBI licenses to connect to data sources with Live connection. You just need to make sure the credential is valid and has access to data source.

Hi Yuliana,

 

Thanks for guiding me with the licenses and the report sharing mechanism.

 

On further analysis, seems I would require PowerBI Pro(For Developers), Premium P2/P3(For sharing with clients) and Embedded(For Embedding reports in Web application) licenses.

 

I am doing further reseacrh on this, will get back with more queries again 🙂
