PowerBI reports and Apps won't show any data from Shared to users

Hello expert, 

 

I uploaded a PBIX file with direct query into my app workspace. Then I configured the DB server connection information on the dataset. I am able to view all the data. Then I published it as an app and also give another user access to the app. When the user logged in, he could only see this:

I shared one report to another user as well, same error. 

 

It seems that the DB server connection is not used when it is shared as an app or as a report. However I didn't find a way to configure a new DB server connection from Shared to users's PBI interface. 

 

Any idea how to resolve this issue?

Is it a live connection to an SSAS server? If so, please refer to this document.

As we can see from your snapshot below, the Gateway is monitored by the other account. So please add other users to the same Gateway too.

thanks @v-jiascu-msft.   I logged in as that admin user. The challenge for me that is there is no gateway for this admin user if I go to "Manage gateways" 

 

By the way, this is a testing env. thanks for the reminders though. Smiley Very Happy

Sorry, my snapshot could be a little misleading. You should log in as the user who owns the gateway, which may not be an Admin.

no problem. thanks @v-jiascu-msft. everthing is setup by the global admin user and I logged in as that admin user to publish the app and share the reports for other users. 

actually we found out today that owner of the App workspace is an Office 365 Group whose owner is the global admin account whom I used to create and share everything.  Here are what we did:

  • After I added shared to user to that group as member, shared to user still COULD NOT access the data source
  • Then I make the group as public group, now shared to user COULD access data source now and could see the reports
  • then I make the group as private group again, now shared to user STILL COULD access the data source and reports.  Maybe the membership update needs some time instead of private/public group change make the difference. 

 

It seems that the process of sharing and app publishing is not fully streamlined here for private App workspace?

Hi, How did you give access to other users?

Do add the users to the "Data Source" too. Go to Settings > Manage Gateways > Select Gateway > Select Data source > Select Users (next to Data Source settings) > Add other users here.
