Power BI license modell

Hi together,

i have actual a project in my company. We have since some months Power BI, we have two Power BI Pro licenses.

But all colleagues should be able to view the reports but without programming them.

But I only find the options that all must subscribe to Power BI Pro or we subscribe to 1 Power BI Premium license.

My colleagues are not supposed to program and do not want to, so a Power BI Pro license is unnecessary

Or do I need to use Power BI embedded via Azure to allow my colleagues to work with a Power BI Report without a Power BI Pro license.  Power BI embedded is not my first choice

I hope somebody can help me, i am very irritated about the license model from Power BI

Best wishes

Lea

Hi @leazimmer ,

Thanks for your reply. Do you mean your colleages can open and review the link of report through Teams App?

If you don't mind that some private information in your report is leaked, you can directly publish the report to the web, and then share the link with your colleagues. Because once you do this, everyone can access and view your report.

Hi @leazimmer ,

Based on your description, if your colleages are free users working with content in My workspace, they cannot collaborate with other colleagues in the Power BI service. AFAIK, Colleagues cannot directly share content with this kind of users, and they cannot share content from My workspace.

Please refer to this doc:
Feature availability for users with free licenses - Power BI | Microsoft Docs

The best way is to let them be a part of an organization that has a Premium capacity subscription and assign them the Viewer role to those app workspaces.

Or you can use Publish to web so that anyone on the Internet can view your published report or visual.

Hope that's what you were looking for.

Best Regards,

Yuna

Hi Yuna,

thanks for your answer, i have understand, that i can share free a report direct from My Workspace example about a link, outlook and Teams in a channel from Teams is this correct?

But I must do this manuell every day?

Best wishes and thank you

Lea

Hi @leazimmer ,

Thanks for your reply. They can receive the link of report you share but they cannot open or review it if they only have a free license. If you share .pbix file directly, they can review the report successfully. You could create a Communication site in Sharepoint and load your .pbix files to it.

Please refer to the following doc:

Team Site vs. Communication Site - Which one should I choose? | Microsoft Docs

Hi @leazimmer ,

At this time, the only license that can view the reports in Service is the PRO License.  Note that unless you give permissions to the individual, they can't modify or edit or create reports to the established workspaces (which is a requirement you state above).

Subscribing to one Premium User License does NOT give you the ability to share to non-licensed users.

To share with non-licensed users you will need to get Premium and then you can share with anybody.

Here is an idea that you can vote for to get "view only" licenses

Microsoft Idea  · New Power Bi License - View Only
