How to access reports under workspace that users cannot access?

Hello everyone,

I can grant user-based access to reports under a workspace. However, when I remove the access authorization of the relevant user from the workspace, the user can only access the report with the link of the report. Is there a way to see the report on the powerBI homepage without seeing the workspace?

Hi @MiSeKa ,

Yes, there are ways to achieve what you want, perhaps you could consider setting up RLS? It can be used to restrict data access for given users.

If you want to learn more about this function, please refer to this doc:Row-level security (RLS) with Power BI - Power BI | Microsoft Docs.

At the same time, you need to notice that If you publish your Power BI Desktop report to a new workspace experience  in the Power BI service, the RLS roles are applied to members who are assigned to the Viewer role in the workspace. And Workspace members assigned AdminMember, or Contributor have edit permission for the dataset and, therefore, RLS doesn’t apply to them.

Hi @MiSeKa ,

So you mean you don't want users to see the workspace, only see the corresponding reports that you want to share?

If you add the user as a workspace role, you can't achieve the idea that you want to not see the workspace.

At the same time, if you want to users see only the reports, I suggest you share the reports directly to the user, so that they can just see contents you shared.

Hello,

I want to have all my reports under the same workspace and some reports are visible to everyone, and some are only visible to users that I authorize. Is there a way to do this?

Thank you for your help

Hi @MiSeKa

If you ask specifically about the Home page in the Power BI service, we dont have control on what to show. You can filter only the report or workspac using the filter option.

Thanks
