Hide paginated sub reports in Power BI Service workspace

Hi community,

 

In our Power BI Premium tenant we have quite a few workspaces that contain paginated reports that rely on subreport functionality, where we nest .rdl files as subreports into other .rdl files where it makes sense for repeatability or for maintainability. However, this gets confusing for our business-side end-users who see all subreports and main reports in their workspace.

 

Does anyone here know of a way to hide paginated subreports in a workspace from "Viewer" users in that workspace, while maintaining the ability for those users to see that report as a subreport within the main report?

Unfortunately, there's no settings to hide paginated subreports in a workspace. Adding people to workspace is to show all the information involved. I suggest that you can apply row-level security to a Power BI paginated report to limit viewers to access paginated sub reports. Here are steps.

The first step is to create a parameter and assign the built-in field UserID.

You can reference the following document.

Report parameters in Power BI Report Builder - Power BI | Microsoft Learn

 

Then you use this parameter with UserId in a filter or in a query to the data source.
