Best Power BI Subscription Type for Sharing Reports

Hello everyone,

We are a medium education organization, and we are looking for the best price PowerBI subscription could cover our need. We have a small team group (5 users) who are the one developing and creating PowerBI reports, and we need to privately and securely share these PBI reports with other staff member and teachers (~250 users) as only read only, there are some cases that it will be required to filter reports so each user can only see his own relevant information.

What is the most effective PowerBI subscription that we need to subscribe for as I am confusing between the core difference between PBI Pro and Premium?

To share PBI reports, insights, Apps with your users, either each user should have Power BI Pro or they can be a FREE user and can still access if you have Power BI Premium subscription.

Hi @mohammed_essam ,

I agree with @superuserview. And the Pro license meets your needs. Firstly, the price of Pro license is suitable for your medium education organization.Secondly, For safety issues you can use RLS.

For more information on RLS please refer to the following articles.

Please refer to the posts about Pro and Premium to see if it helps you.

Based on the number of users (250), you can go for Power BI Pro. To give access to users with relevant information, you can implement RLS (Row Level Security) .

If you have 500+ users, then you can consider going for Premium as its cost model is not based on per-user but capacity. https://powerbi.microsoft.com/en-us/pricing/

Hope this clears your question.

Thank you for your response, however, it is still not clear for me a bit.

Can I securely share (not via a public link) PBI reports, insignts, Apps with the free PBI users if I am using Power BI Pro or PowerBI premium per user subscription ?
