best approach to use Power BI templates

Hi All,

What is the best practice to share PowerBI reports with the other team members to build reports, not from scratch?

As per my knowledge, I understand that we can share the Power BI template(.pbit) and they can start building reports accordingly.
But that requires access to Database credentials as well (if they want to look into the data).

The second option would be to give them build permissions (in a workspace for a dataset) in Power BI Service (as they already have a pro license) and they can work on the report template. But it has few limitations as the user won't be able to model and can not create their own calculated columns with DAX expressions.

Which one is a better approach if building DAX expressions and data modeling is not a concern? Will, there be a problem in maintaining the reports?
I can provide more information if needed.

Hi @Anonymous

It should be only the users in the organization can connect to the datasets in your organization. The second option may not be realized. In such condition, you can take option one. But credentials and data will not be saved in the pbix, users must re-input the credentials. Maybe you can consider creating a dataflow, then users out of your organization can connect to it and create their reports. For how to create dataflow, you can refer Creating a dataflow.

@Anonymous , while power bi template is a good idea. But you can think about power bi dataset, where then can use dataset of published power bi and build the report. In this way you do not have share source details.

Just make sure the model is complete to work with
