Sharing reports with external users

Hi all

I wanted to find out how it is possible to share a report with an external user. I had thought if both report writer and external user had Pro accounts (paying $10 a month) then the external user would be able to see reports? We have an external user testing this out with us and it seems like they only get the Q&A section and cannot even see the dashboard let alone the report.

Our preference is to share the report for them as we've spent a good amount of time building it. The dashboard are nice but just aren't good enough IMHO.

I've seen that the PowerBI premium option solves this but we only have a handful of external clients whilst we are trying to build up our clientele. This makes the premium option not worthwhile yet but we'd certainly like to get there. I have also seen the option to tie it in with SSRS but we don't have the enterprise edition of that

Has someone else found a good solution to this conundrum?

regards,

Mark

Hi!

@Anonymous,

PBI Embedded isn't good solution for you? The pricing begint from 1$ (for A1 node).

Thanks McCow - didn't know that - could be useful later.

The 'cost' is more around my level of technical skills as more a business analyst user and with our internal IT being tied up in many other projects. I'd love for this to be sophisticated by having embedded share point style or other web type reports but we don't have the resources to do that just yet. Being able to simply share a report with a client tides us over at least for now.

Well for embedded you have to do some development work to bring reports/dashboard in your apps, if it is simple straight forward sharing, not thru APP then in my opinion, workspace and B2B is the way to go,

Yes @parry2k, you right.

It's always a matter of choice, you either pay here, or there. Someone benefits from that, someone from another

Hi @Anonymous

I think a good option to your conundrum is publish the reports to Web. It's not necessary the external user have a Power BI PRO account. But be careful, anyone can see the reports with only the created link.

Thanks for that suggestion and we did think of that but I forgot to mention that we don't want this data going to anyone only approved users.

I see. In this scenario, your company have to assign him a Pro subscription according to Microsoft good practice.

Here some documentation.

They already have a pro subscription... They can see the Q&A and ask single questions of the data but they cannot pin the visuals nor can they see the dashboard tiles or reports. It's reports that are the most important thing for clients to see

Create a workspace for your user and add teh report/dashboard you want to share with them and then use B2B to share with external users, this functionality was introuced on Nov 17th, 2017. Here is the link for more information and I think this is the way to go in your case.

Hi all

So the problem looks like it may be on PowerBI's end. A consultant with whom we are assessing PowerBI tried to share a report using the Pro user to Pro user functionality and we had the same behaviour. Then they found this on their Admin console for Office365

That is likely to be it. I just thought that potentially, the powers that be (PowerBI) decided to make changes to that feature.

Will keep an eye on this and revert back once it's working again, fingers crossed.

However, thanks for the options shown here.
