Common report shared between customers

Very new to Power BI and would be grateful if some could help me with the following scenario.

We have many customers (30+ and growing) working on our bespoke application, each having a separate large database but all DBs sharing a common structure.

We want to start offering them Dashboard and BI Analysis features. While some reports may be tailored to individual customers, most will be common to all. So, let’s say for all customers we want to offer them Sale Report 1, by publishing each a separate web link.  Obviously, it is vital that each customer only see their own data!

So, we develop Sale Report 1 using internal test data.  Do we then have to make 30 copies of it, in different workspaces (modifying the data link) for each customer?  What happens when we then spot the spelling mistake? What we would like to do is maintain a single ‘master’ report, that when updated, effects all customers. However, if there was an easy way to automatically distribute a copy of the report into all our customer’s separate workspaces, this would be acceptable.  The worse scenario would be having to change 30 copies.

In other words, can a single report be shared and easily maintained for all our customers, given they will have different, but similar, datasets?

Reading up on this I see one approach would be to have a single dataset, by joining all our customer's DBs, then implement row level security.  I do not like this idea for many reasons!  These datasets are large, guessing each DB individually take a significant time to interrogate.  Combining will open so many issues. There must be a better way!

Does anyone have this, or simular setup?

I would be very grateful for any pointers,  insights or just ideas.

Many thanks

Susan.

Hi @SusanFarr

These is one method you could take into consideration, but you all need use Power BI Service, and the initial owner of the dataset should have pro account or premium.

1. create a app workplace

Create the new workspaces (preview) in Power BI

2. add content to app workplace

After you've created an app workspace, it's time to add content to it. you could upload or connect to files in Power BI Service, or publish dataset and report from Power BI Desktop to this app workspace in Service.

Publish from Power BI Desktop

3.assign role to users

You could add user groups or individuals to the new workspaces as members, contributors, or admins. Everyone in a user group gets the role you’ve defined. They can create, edit, and delete content in the workspace.

4. users connect to dataset

users of the app workplace could create their own report using dataset directly in power bi service.

users of the app workplace could also connect to the dataset using Power BI Desktop, then create their own report.

Connect to datasets in the Power BI service from Power BI Desktop

Best Regards

Maggie
